4 Stage ISO Certification Process

STAGE 1: Gap Analysis & Documentation Planning
The purpose of this stage is to identify the status of Management System compliance against the requirements of ISO 45001:2018, ISO 14001:2015, ISO 9001:2015 standards in the aspects of documentation requirements. This stage shall also identify the gaps in terms of documentation that needs to be addressed to fully comply with the requirements of the standards.
HSEPro Consultant activities:
- Conduct initial meeting with the project team members.
- Conduct gap analysis.
- Identification of the documents that need to develop or update against the ISO standard requirements.
STAGE 2: Documentation
This stage is to create new ISO documents based on the outcome of the gap analysis in order to ensure that your management system meets the minimum documentation requirements of the standards.
HSEPro Consultant activities:
- Update existing documents or create new documents as per the ISO standard requirements.
- Submit all documents updated/created for discussion, review, revision and approval.
- Identify all the processes and consult employees in formulating operational procedures.
- Formulate a plan for conducting the assessment as per the processes.
- For OHSMS and EMS
- Identify hazards/aspects and evaluate the OSH risks and environmental impacts through risk assessment as planned.
- Consulting employees in the assessment of hazards / risks, aspects / impacts.
- Document/record the results in the Risk Assessment Register or Environmental Aspects and Impacts Register.
STAGE 3: Implementation
The purpose of this stage is to ensure initial implementation of the management system covering all requirements of ISO 45001:2018, ISO 14001:2015, and ISO 9001:2015 standards. Along with the implementation, this stage also ensures active participation of all process owners and workers in the implementation processes. This also ensures record keeping of all evidence of system implementation.
HSEPro Consultant Activities:
- Prepare a detailed Implementation Plan and seek approval.
- Conduct awareness to all existing staff on the following:
- ISO 45001:2018, ISO 14001:2015, and ISO 9001:2015 Awareness Training
- Fire safety
- Basic First Aid, CPR, and AED
- Provide guidance session to process owners regarding the integration of management system requirements.
- Facilitate the appointment of the Emergency Response Team.
- Conduct and document one emergency drill.
- Prepare HSEQ statistics / performance report.
- Facilitate process owners in generating records required for upcoming internal audit.
- Conduct initial internal audit before the certification audit.
- Assist and follow up with relevant process owners the closing of Internal Audit Nonconformity.
- Facilitate the conduct of Management Review Meeting before the certification audit.
STAGE 4: Certification Audit
The purpose of this stage is to audit your HSEQMS by the certification body. HSEPro will act as a HSEQ Representative during the audit process. We will close any nonconformity raised and will generate the nonconformity report to be submitted by the certification body.

- Communicate with the certification body for the certification audit schedule.
- Guide and act as the HSEQ Representative during the audit.
- Answer questions, provide documentations, and guide auditors during the audit process.
- Conduct root cause analysis of any nonconformity raised by the auditor.
- Recommend corrective action for the close-out of the nonconformity.
- Follow-up and monitor the corrective action implementation.
- Draft nonconformity report and let it approve by the client.
- Follow-up release of ISO certification.
